Job description:
Responsible for submitting and/or supervising a completed bid to an existing or prospective customer, on time and within budget. Must ensure that all the customers' questions have been answered as fully as possible, and that the organization has given itself the best possible chance of success.
- Responsible for designing and executing the optimal general tendering process with relative management and monitoring tools;
- Involved in every aspect of the submission and has an excellent appreciation of what the client needs and how best to articulate how the organization can provide that;
- Works closely with other Company departments to bring together experts when required;
- Responsible for managing the tender department's budget, leading European tender team (providing instructions, guidance, directions working towards the Company business goals) and supporting EMEA distributors to ensure first-class customer proposals and the highest success rates for Company products contributing also to deliver profitable sales growth and business performance improvements;
- Perform an initial review of the Invitation To Tender documents to establish the scope of work, the tender schedule and the composition of the tender team as well as clarify any unclear items;
- Manage post-submission documents/tasks: contract signatures, payment of guarantees, maintain accurate records and files of all the tender data;
- Final responsibility for Company evaluation: preparation and submission of Pre-Qualification Questionnaires (PQQ);
- Put in place with other Company departments, especially Marketing, "tender oriented" product documentation to increase the percentage of business won and receiving the highest score during tender evaluation;
- Assist Sales Department in negotiations and clarifications by liaising with Sales Directors and Sales Managers who are responsible of formulating the pricing of a bid. Support Sales Directors to propose the best price solution and helping them in preparing the best tender strategy;
- In charge of managing relations with the Procurement Directors of Public Hospitals;
- Analyze pricing, forecasting and tender reporting for Europe and Emerging Markets;
- Train Sales Force and distributors on legal and commercial aspects of tendering;
- Provide business support: control and audit of all statements prepared by other Company departments to be used in tender submission, with the aim of aligning them to commercial aspects;
- Participate in all major international congresses to monitor competitor product information/landscape, (to contribute to prepare the best tender strategy for coming bids) and to liaise with distributors team for assessing new tender needs and procurement law changes;
- Responsible for bidding for multi-million dollar contracts and for supervising more than one bid at once, and having ultimate say/check on them before submission.
Seeked profile:
- University degree: business, international relations
- Strong proven experience working in matrix organization with different departments
- Minimum of 5 - 8 years of experience in sales, marketing and/or tender dept. Management
- Full knowledge of EU procurement law/regulations as well as the knowledge of National procurement/contract laws
